# Quick Start Guide

Get to know the Kosmo platform in just a few minutes.

Ready to get started? We created a quick start guide to help you get into the flow of using Kosmo. Below you'll find the recommended steps to get an overview of the complete platform. For a deep dive into each feature, check out the menu items on the left.

## Signing Up for Kosmo

Signing up for Kosmo is completely free and you don't have to enter your credit card information to get started. After entering your email address and password, you'll be taken to your Kosmo dashboard. If it's your first-time logging in, you'll see a **Complete Signup** form. Enter your information like **name, company name, title,** and **address**. This information will be used to pre-fill invoices, contracts, and proposals and to streamline your workflow.&#x20;

## Dashboard

Your dashboard shows your most important stats like **hours worked, latest projects** and gives an overview of **received, outstanding,** and **overdue income.** You can also set your **monthly income** goal which is automatically updated through paid invoices. When you just get started with Kosmo, you'll also see four onboarding steps to guide you through the platform. The onboarding cards will prompt you to **add a client, create a project, set up payments** and **create an invoice**. To get to know the features even if you don't have an active job, we suggest using sample data for the client, project, and invoice to get familiar with the platform.

## Settings

To speed up your workflow, we recommend heading to your settings first. In your settings, click on **branding** and upload your **logo, brand color,** and **header.** Your branding materials will be added automatically to your invoices and proposals, so you don't have to adjust the template styles every time.&#x20;

While you're in your settings, also click on **payments** to set up your preferred payment methods for your invoices. You can link your Stripe account to accept payments via credit cards, debit cards, and ACH, or enter your PayPal email address to request payment through PayPal. If you prefer to get paid via a different payment method not listed here, enter the details under **other payment option**. These instructions will then display on your invoice.

## Clients

To add a new client, click "Add Client" and enter some basic information, like **client name** and **client email.** Once you created a client, you'll be taken to the client overview. The overview shows the invoices and projects that are associated with the client. You can also add more details by clicking the edit buttons. For example, add the client's **address** and **website**. This information will later be pulled to pre-fill client data for invoices, proposals, and contracts.

## Project

Next, let's create a project for the client. Click "New Project". Enter a **project name** and choose a **client** from the drop-down or add a new client by clicking the + icon. You can also already set the **currency** and indicate the **hourly rate**. These settings will later be used to automatically fill out parts of the contract, invoice, and proposal. After clicking "create", you'll be taken to the **project overview.**  Here you can find stats related to the project such as invoices, time tracked, notes, files, and documents. You'll also see a little menu on top where you can see and create the project's **tasks**, as well as **notes** and see the project's **invoices** and **tracked time** in more detail.&#x20;

## Proposal

Once you're ready to pitch your client your offer for a new job, click "New Proposal". Choose a **client** and a **project** or create new ones by clicking the + icon. You'll be guided through 4 easy steps.&#x20;

1. Enter **general information,** for example, **proposal title** and **recipient name**.
2. List your **proposal items**. What are you planning to do for the client and how much will it cost?
3. Fill out or hide c**ustom sections** like the **timeline** or **additional services** you might offer.
4. Choose a **style**. Decide what template works best for your proposal and if you'd like to add branding.&#x20;

Finally, review the proposal and sent it out to the client. The client will receive the proposal via email and can sign it to approve the proposal. When the client submitted their signature, you'll get notified via email and can start the work.

## Contracts

To make sure you're protected, and that the client understands the terms of the work, you can create a contract on Kosmo and have it signed digitally. Click "Create New Contract" and read the contract notice. You can choose between a **standard** and **custom contract.** The standard contract will guide you through 4 simple steps:

1. **Client info,** like **recipient name** and **address.**
2. **Deliverables,** to explain what you are hired to do.
3. **Timeline and location** of the work agreement.
4. **Project payment**, to specify the payment terms such as **rate** and **late fees.**

Review and sign the contract online and send it via email to your client. As soon as the client digitally signed the contract, you'll receive a notification via email. Both you and the client will also receive a signed PDF copy of the contract along with an activity log.

If you'd like to make changes to the standard contract or use your own, choose the **custom contract** option after clicking "create new contract". You'll see the standard contract in an editor that can be modified to suit your needs. The custom contract can also be signed digitally and comes with an activity log as well.

## Tasks

Instead of clicking into a project to add a task, you can also see and manage all to-do items by clicking the **tasks** menu item. To generate a new task, click "add task" and enter a **title**. You can also link the task to a **project** and give it a **due date.** If you have to do the same task regularly, mark the to-do item as **recurring** and choose the frequency. You can also add a **note** to explain the task a bit more.

You can see **all tasks** or check what tasks are already **done** and which ones are due **today** and **tomorrow**.&#x20;

To mark a task as complete, click the square next to the task name. &#x20;

## Time Tracker

When you're ready to start your work, you might want to track your time so you can later bill the client for the time spent on the project. You can start the time tracker from multiple places on Kosmo, such as the **dashboard** and **project**. One location that is always visible is in the **top menu.**

Click the "Track Time" button. You can choose a **project** and a **task.** If no task is selected, you can still name the work session so it's easier to find later in your timesheet. Please note that in order to add a timed work session to an invoice, you'll need to choose a project from the time tracker drop-down.&#x20;

To **stop** the time tracker, click the stop button. \
You can see all your tracked sessions in the **Time Tracker** menu item and edit them here to adjust the time or project.&#x20;

If you forgot to start the time tracker, you can **add hours manually.** Click the "Add Hours" button and fill out some information like the associated project and the date for this work session.

## Invoices

Ready to bill your client? Head over to **Invoices.** Here you can see and manage all drafted, sent, and paid invoices. To create a new invoice, click the "New Invoice" button. You can create an **invoice based on a project** or create a **manual invoice**. If you want to just send a quick invoice that is unrelated to a project, click the **"**&#x4D;anual Invoic&#x65;**"** button. Enter the client details and invoice items (you won't be able to add tracked time).&#x20;

To create an **invoice for a project,** choose the project from the drop-down. You can complete an invoice in 4 quick steps:

1. Enter **general information**, such as **sender** and **client address.**
2. Add your **invoice items**. You can either enter your invoice items **manually** or choose **tracked worked sessions.**&#x20;
3. Choose your preferred **payment method** and enter any **conditions and notes.**
4. Decide on a **style.** Some styles are more minimalistic while others allow you to add your logo and header.

Once you're ready, send the invoice to your client's email address. The client can then view and pay the invoice via your indicated preferred method of payment. You'll also receive a notification that the invoice was paid.

# Dashboard

See your most important stats, like hours worked and recent projects on your dashboard.

## Monthly Income Goal

Set a monthly income goal to keep track of your personal target for your business. To enter your goal, click the "Edit Goal" button and enter the amount you're aiming for this month. The progress bar will increase based on the earnings of [paid invoices](https://learn.joinkosmo.com/navigation/invoices#after-sending-an-invoice). You can always come back to the "Edit Goal" button if you want to adjust the target amount.

## Income Overview

Under your income overview, you can see the income you've received, income that is outstanding and overdue income. **Received** income is considered the amount on an invoice that is marked as paid. **Outstanding** are the amounts on invoices that are sent but not marked as paid yet. The **overdue** income shows amounts on sent invoices that weren't paid on time by the chosen due date. By default, the income overview is filtered by *this month*. By clicking on the filter, you can also choose to see your numbers based on *last month, this year, last year,* or *all-time* for a  broader snapshot.

## Hours Worked

In this section, you can see the number of hours tracked. **Total tracked** shows the amount of the total time you tracked via the time tracker. **Total unbilled** tells you how much time you haven't added to invoices yet, whereas **total billed** shows the hours that were already invoiced. By default, you'll see the hours you tracked in the last *7 days*. You can also click the filter to see your hours worked in the l*ast 30 days, this month, last month, this year, last year,* or *all time*. If you're ready to get started with another work session you can click "[start timer](https://learn.joinkosmo.com/navigation/time-tracker#how-to-track-time)" to start tracking your time.

## Latest Projects

Get a quick look at the projects you recently added. Under latest projects, you'll see the project name as well as the corresponding client. Click on one of the projects to get a more detailed view of the project. You can also click "[new project](https://learn.joinkosmo.com/navigation/projects#how-to-add-a-new-project)" to add a new project to your list.

## Updates

From time to time you'll notice a yellow box appearing on your dashboard. This is our team informing you of a platform update. Once you've seen the update, click the "hide" button. We won't show you the same update again.


# Top Menu

Quickly start your time tracker, see important notifications and access your account.

## Top Menu Overview

After logging into your Kosmo account, you'll notice a white top menu. Here, you can see the title of your current opened page, track time, see notifications and access your account via your profile picture.

## Track Time

You can start your time tracker on any page by clicking "Track Time" in the top menu. After clicking the button, you can choose a **project** and a **task** for this timed session. When you choose a project from the drop-down menu, you'll only see tasks that are connected to this project. You can also add a new task, by clicking the + icon. If you don't choose a task, you can still give this timed session a title to find it easier in your timesheet. By default, the session will be called "untitled work session". \

Click the "start" button. You'll notice that the time starts counting in the top right corner. You can always keep track of the timer in the top menu, regardless of which page on Kosmo you're on. ## Notifications

The little bell in your top menu will let you know whenever a client signed a contract, accepted a proposal, or paid an invoice.

The bell will be blue and have a little red circle next to it. Click the bell to see the notification and click the eye icon to mark the notification as seen.

## Profile Photo

In the top right corner, you'll see your profile picture. The robot image is randomly generated. You can change the picture in your settings. Click the robot to access your [**settings**](https://learn.joinkosmo.com/navigation/settings)**, features vote,** or to **logout**. Add your improvement ideas for the Kosmo platform or see what other users are thinking by clicking **features vote**. Here, you can vote on user-submitted features or add your own **feature requests.**


# Clients

All important client information in one place.

## Clients Overview

Once you clicked on **Clients**, the first thing you'll see is all the clients you've added. To get an overview of the most important information we list the **company or client** name, **contact name**, the date you **added** the client, and the number of **projects** associated with this client. When you click on the **actions** dots you can view, edit, archive, and delete the client. You can also choose the color for this client to visually differentiate the entries. \
\
Looking for someone specific? Click the "Search Clients" box to do a search. You can also filter the clients based on *last added,* clients with *open invoices* or *active projects*, as well as *archived* clients.

## How to Add a New Client

To add a new client, click the "New Client" button. You'll see a popup that asks for some basic client information. The only information that is required is the **company or client name. Contact's first and last name, email, and phone number** are all optional fields. Click "Add Client" and your client will be created.

After clicking on one of your clients in the list or after adding a new client, you'll see a more detailed view of the client:

### Invoices

Get a quick overview of how much you've earned by working with this client. **Invoices** **sent** shows the total number of invoices sent to this client. **Outstanding** displays the amount that was added to invoices but wasn't paid yet. **Overdue** indicates the income that was added to invoices but wasn't paid by the due date, while **Received** displays the paid income. You can also create a new invoice for this client by clicking the ["New Invoice" button](https://learn.joinkosmo.com/navigation/invoices#how-to-create-an-invoice).

### Projects

This area lists all projects that are associated with this client. You'll see the **Project Name** and the **Status** of the project. You can also click the three dots under the gear icon to quickly mark the project as complete and to edit, archive, or delete the project. [Click "New Project"](https://learn.joinkosmo.com/navigation/projects#how-to-add-a-new-project) to add another project.

### Notes

Save all important information relating to this client under the notes section. No matter if it's just general guidelines the client gave you or meeting notes, click the "New Note" button to add a new note. After you created the note, you'll see the note's **title** and date **created** listed under Notes. When clicking the three dots under the gear icon you can either edit or delete the note. To see what you've written, simply click on the title to open the complete note.

### Contact Information

To add more information to the client, click the three dots next to the client icon. You can either edit, archive, or delete the client. You can also choose a color for the client icon. The client icon will show the first letter of the contact person's first and last name or the first two letters of the company name. After clicking "edit" you'll see a popup to enter more detailed client information: **first and last name** of your clien&#x74;**, address, email, phone,** and **website.**


# Projects

Never forget any important project information ever again.

## Projects Overview

This is where all of your projects are stored and listed. You'll see the **project name,** the **client** the project is associated with, the number of **tasks**, and the **status.** The status can be active and completed. You can use the search box on the top left to search for a specific project. To narrow down your list, filter by *client,* or *status*.

## How to Add a New Project

To add a new project, click the "New Project" button. You'll see a pop-up that asks for a **project name**. This is the only required input to create a new project. To connect a project to a **client,** choose an already created client from the drop-down or create a new client by clicking the + icon. \
You can also set a **currency** for this project. This will be the default currency that will be used for invoices, contracts, and proposals for this project. \
If this project is paid hourly, check the **hourly rate** box and set your **hourly rate** amount. This information will be later used to calculate the income earned.&#x20;

Click "Create" to add the new project.

### Project Overview

The project overview shows the most important information about this project. Here you can get a quick view of **project settings, invoices, time tracker, notes, files,** and **documents**.

#### Project Settings

Each project has a little colored icon on the top left. The color of the icon is the color chosen for the client to whom the project is connected. Check out the [client's page](https://learn.joinkosmo.com/navigation/clients) to see how to change the icon's color. It'll either show the first letter of the client's first and last name or the first two letters of the company name. The section also shows the **status** of the project as well as the **rate**, if you set one when creating the project. If you click on the rate, you'll see a pop-up to edit the **hourly rate** and **currency** for this project. By clicking the three dots, you can change the status of the project from active to complete, archive, or delete the project. When you click edit, a pop-up will show where you can also edit the **project name, client, currency,** and **hourly rate**.

#### Invoices

In this section, you'll see how many invoices you've **sent** out for this project. You'll also find the invoice amounts that are **outstanding**, meaning an invoice wasn't paid, yet. **Received** earnings, and **overdue** income are also tracked here. To create a new invoice for this project, click the blue + icon. #### Time Tracker

See how many hours you've tracked for this project under the time tracker section. The **tracked** time is the total time you've tracked for this project. The **unbilled** time shows the time you haven't added to an invoice, whereas the **billed** time displays the time you invoiced so far. By default, the view is filtered by the last *7 day&#x73;**.*** You can also change the timeframe to the *last 30 days, last month, this month, this year, last year,* and *all time.* To start a time-tracked work session for this project, [click the start button. ](https://learn.joinkosmo.com/navigation/time-tracker#how-to-track-time)

#### Notes

This is the place to write down any meeting notes, thoughts, ideas, and instructions for the project. After clicking the + button, you can give your note a title to make it easier to find it again in the future. To see a note in detail simply click on one of the items in your list. You can also edit, and delete a note by clicking on the three buttons next to a note.

#### Files

Keep everything related to the project in one place. By clicking on the + button, you can upload any type of file, like designs, wireframes, or logo ideas. Click on one of the uploaded files to view and download it. You can also click on the trash icon to delete a file.

#### Documents

Two types of documents are saved here; [**proposals**](https://learn.joinkosmo.com/navigation/proposals) and [**contracts**](https://learn.joinkosmo.com/navigation/contracts). It'll show you the number of documents that relate to this project. To see a proposal or contract that was created for this project, click on one of the items.&#x20;

### Tasks

Keep track of the things you have to get done for this project under tasks. To [add a task,](https://learn.joinkosmo.com/navigation/tasks) click the "Add Task" button. Once you created a task, you'll see the **task** name, a button to start [**time** **tracking**](https://learn.joinkosmo.com/navigation/tasks#track-time-for-a-task), the **project** name this task belongs to, and the **due date** if you chose one during creation. By default, the view shows *All tasks.* You can also see tasks that are due *today* or *tomorrow*. You can check all the work you already completed by clicking *done*. Use the search box to look for a specific task. By clicking on the three dots, you can mark a task as complete, edit and delete it. On the left side, you'll see three lines. Click and hold these to drag and re-arrange your task list. Click on the task name to see the task's details. Mark a task as complete by clicking on the light grey square next to the task name.

### Invoices

To find all invoices that belong to this project, click "Invoices" in the mini menu. Here, you'll see the list of invoices you drafted and sent for the project. Listed are the invoice **number**, the date the invoice was **issued**, the **due date**, the **total** income billed on the invoice, the **status** of the invoice, and whether or not the invoice has been **paid.** You can also filter the invoices by *status.* The status of an invoice can be *draft, paid, sent, overdue* and *archived*. Click the three dots under **actions** to edit, archive, or delete the invoice. You can also change the status of an invoice here. ### Time Tracking

Get an overview of the time you tracked so far for the project via Time Tracking. See the total **tracked** time and **unbilled hours**. If you entered an hourly rate for the project, you'll also see the **total amount** earned for this project as well as **unbilled amount** that you haven't added to an invoice yet. You can start the time tracker by clicking on ["Start Tracker"](https://learn.joinkosmo.com/navigation/time-tracker#how-to-track-time). Narrow done the timeframe by clicking on *last 7 days* and filtering by the *last 30 days, this month, last month, this year,* and *last year.* If you forgot to start a time tracker and want to add worked hours manually, simply click the ["Add Hours" button](https://learn.joinkosmo.com/navigation/time-tracker#how-to-add-hours-manually).

Under **Tracked Time** is another section called **Unbilled Hours.** This is a list of tracked work sessions that haven't been added to an invoice yet. You'll see the **time** worked, the **title** of the timed session, the **date** of the tracked session as well as how much you've **earned** if you set an hourly rate under the project settings. By clicking the three dots under **actions** you can edit and delete a tracked worked session.

### Notes

For easier access to all of the notes for the project, click on the **Notes** in the mini menu. Save anything you want to reference later for this project. Click "Add Note" to create a new note. By clicking on the three dots, you can edit or delete a note.

# Tasks

Keep track of all of your to-dos.

## Tasks Overview

After clicking on **Tasks** you'll see a list of **all tasks** you're created that are currently active. The list includes the **task** name, a button to start **time** tracking, the **project** name the task is for, and **due date** if you added one. You can also click on the three buttons to edit or delete a task and to mark a task as complete. Another, quicker way to mark a task as complete, is by clicking the light grey square next to the task name. By holding and dragging the three lines on the left side, you can re-arrange the task list.&#x20;

You can see *all tasks* or see tasks that are due *today* or *tomorrow*. Check out all your completed tasks by clicking the *done* filter. You also have the option to *filter by project.* To find a certain task quickly, use the search bar on the top right.&#x20;

If a task is due today you'll see a blue bar next to the task, whereas a red line indicates that a task is overdue.&#x20;

## How to Add a Task

To add a new task, click the "Add Task" button. The only required input to create a task is a **title**. If this task belongs to a project, choose the **project** from the drop-down. Give the task a **due date** if you want to get this task done by a certain date. If your task is a **recurring** task, click the drop-down to choose the frequency, *daily, weekly, monthly,* or *yearly*. You'll have to choose a due date to set the task as recurring. Add a **note** to add more information and details for the task. Finally, click "Add New Task" and your task will show on the all tasks list.

## Track Time For a Task

## Editing a Task

To edit a task, either click on the three dots on the right and click "edit", or click directly on the **task** title. You can edit the **task name**, choose a **project**, change a **due date,** and set a frequency of when to **repeat** the task. Enter a more detailed **description** if you'd like. On the top right, you'll see the **time** you tracked so far for this task. Click "Mark Complete" when you're done with the task, the trash can icon to delete the task, or "Save Changes" to save your edits.

# Time Tracker

Track worked time and add it to an invoice.

## Time Tracker Overview

To see all tracked time, click on **Time Tracker**. You'll see the **time,** the **title** of the task tracked, the **project** the time was tracked for, the **date** when the time was tracked, the amount **earned** (if you set an hourly rate for the project) as well as the **status** of the tracked time. If the time wasn't paid, the status will be "unbilled". Once the time was added to an invoice and the invoice was paid, the status will change to "billed".&#x20;

There are several ways to filter your tracked time by using the filters above the list. You can choose a *start* and *end date* or choose to see tracked time belonging to a specific *project.*&#x20;

You can also export your tracked time to a CSV file. Click "Export" and decide on a **start** and **end date.** If you'd like to only export time for a certain project, choose the **project** from the drop-down. Click "download" and a download of the CSV file will start.&#x20;

## How to Track Time

On Kosmo, there are several places to start tracking your time. You can start the time tracker from the **top menu,** the **dashboard,** a **task,** from within a **project,** and of course from the menu item **Time Tracker.** Click on "Start Tracker". You'll be asked to choose a project and a task. Both are optional fields. Please note that in order to add a tracked session to an invoice, you'll have to choose a project. If you don't want to choose a task you can still give your work session a **title.** By default, the session is called "untitled work session".  Click "Start" and you'll see the tracker counting. If you go to a different page on Kosmo, you can still keep an eye on the tracked time by checking the timer on the top menu.

## How to Edit Tracked Time

Mistakes happen. If you accidentally added a timed work session to the wrong project or chose the wrong task, you can edit a session. Choose a tracked session, click on the three dots and click "edit". You'll see a pop-up, where you change the **project** and **task.** You can change the **date** and also edit the **duration** in case you forgot to start the timer.

## How to Add Hours Manually

Sometimes during work, you might forget to start the time tracker. If you'd like to add time manually, click the "Add Hours" button. Here you can choose the **project** and **task**. If this timed session is not an already created task, you can still give the session a title. By default, it's called "untitled work session".  Next, choose a **date** and enter the **duration**. Click save to add a new tracked work session.

# Contracts

Protect your business and clients with standard or custom contracts and activity logs.

## Contract Overview

Find all your contracts and create a new contract under the **Contract** tab. Here, you'll see a list of your contracts. The list shows the **title** of the contract, the **project** as well as the **client** the contract was created for. You'll also find the date the contract was **created** and the **status** of the contract. The status can be draft, sent, signed, and archived.\
By clicking on the three dots under **actions** you can edit, resend, download, duplicate, archive or delete the contract. You can also download the audit log, which will show you all changes that were made to the contract.

You can filter your list of contracts by *client, project,* and *status*.

To create a new contract, click the "New Contract" button. You'll see a contract notice, explaining that the contract is for general purposes only and not a substitute for the advice of an attorney. Log into your Kosmo account to review the complete notice. After clicking "I acknowledge the contract is for general information purposes only" you'll be asked to enter a **contract title**. Choosing a **client** and **project** is optional but helps to auto-populate certain information in the contract. Now you have the option to create a **standard contract** or a **custom contract**.&#x20;

## **How to Create a Standard** Contract

After clicking the "New Contract" button and choosing the "Standard Contract" option, you'll be guided through the 4 steps of finishing the contract. All editable information is highlighted in blue on the contract.

First, you'll be asked to enter **client info**, like **company name, contact name, contact title, address, city, state, zip code,** and if you'd like to show the **country**. Only the company and contact name are required fields. If you already entered this information into your client details, the information will be filled out automatically. As you enter the information on the right, you'll see the contract update automatically on the left.

Next, enter your **deliverables**. What exactly are you hired to do?

In step 3, you'll be asked to enter the **start date** and **end date** of the work. Also, enter the **location** to indicate based on which state's or country's law the work is based.

Click the "Save" button at any point to save the contract as a draft.

Finally, provide some more information regarding the **project payment** terms. What's the **payment type** for this project; *fixed, hourly, daily, weekly, monthly,* or a *per word* rate? Enter the **rate** amount and choose the **currency**. Let the client know if you require a **deposit** and the **amount.** You can also choose whether or not the **client covers all expenses** relating to this project. Let the client know **how much time you allow for payment** of invoices and deposits, for example, 30 or 60 days. Decide if you'll apply a **late fee** if the client doesn't pay on time and the percentage **amount** per month for the fee. You can also choose if you allow the client to ask for **revisions** and the **hourly rate** for the revision work. Click "Finalize" and review the contract one more time before clicking "Go to Signature".&#x20;

Click the "Sign Now" button, enter your name, and click "Confirm Signature". Enter the **recipient email** and write the email **message**. You can "Send a Test Email to Yourself" to see what the client will receive or click on "Send Email".

## How to Create a Custom Contract

After clicking the "New Contract" button and choosing the "Custom Contract" option, you'll be asked to confirm **contractor** and **client information.** Choose if you and the client are an **individual** or **company** and enter the **names** and **addresses.** If you choose that you or your client is a company, you'll be asked for the **company name and title.** If you already filled out this information in your settings and client details, the fields will be populated automatically. Click "Continue".&#x20;

You'll see the standard contract that can be completely edited. Use parts of the contract, delete sections that don't work for your business, add new segments, or paste your own contract. You can style the contract. For example, choose different fonts, headings, colors and link out to external URLs.

Once you're happy with the contract, click "Sign Now". Click **"**&#x53;end a Test Email To Yourself" or "Send Email" if you want to send the contract right away to your client.

## After Sending a Contract

Once you sent a contract, your client will receive an email to view the contract. The contract will open in a new window and the client can review it and download the contract as a PDF. At the bottom of the PDF, the client is asked to "Sign Now". After the client signs, the contract will show both your and the client's signature and the contract cannot be edited anymore.

You'll receive an email notification to let you know that the client signed the contract. A little notification in the dashboard will also update you that a contract was signed. You can view the signed contract in your account and download it as a PDF.

As the last step, the client and you will receive an email with an attachment of the contract PDF, as well as the **contract log** PDF. The contract log shows the **activity log** of the contract, meaning when it was created, and sent, what was modified after the initial creation and when the contract was viewed, signed, and completed.


# Proposals

## Proposals Overview

Under **Proposals,** you'll find all your drafted or sent proposals, and you can create new proposals. The overview shows the proposal **title,** the **client** and **project** the proposal was created for, if the proposal was already **sent** out, the **amount** you want to charge for the work and if the client has already **accepted** the proposal. You can resend, download, duplicate, archive, and delete the proposal by clicking on the three dots under **actions.**&#x20;

Use the filters on the top of the page to narrow down your proposals by *client, project,* or *status.* The status of a proposal can be draft, sent, accepted, and archived.

## How to Create a Proposal

To create a new proposal, click "New Proposal". Choose a **client** and a **project**. If you haven't created the client or project yet, you can click the + icon to add them now. Creating a proposal is an easy 4 step process.

First, enter some general information. Enter a **proposal title**, the **sender** and **recipient name** as well as **addresses**. If you filled out your information in your settings and the client details before, the information will be pulled and listed here automatically.  Choose the correct currency before clicking "Save and Continue".

In step 2, enter the **proposal items**. What work are you planning to complete for the client and how much will each item cost? Enter an **item title** and the **quantity.** Decide on how the **total** will be calculated, whether by units, words, items, hours, days, or months. Enter the **rate** and click "add". The proposal items will be listed and the total is automatically calculated. If you'd like, you can enter a **discount.**

To edit a proposal item, click on the pencil icon or delete an item by clicking the red x icon.

Step 3 is all about the details. You can include or hide **custom sections** by toggling the blue button on or off.&#x20;

**Overview**\
Describe the client's problem and your service/solution. Explain how you work and what the client can expect from working with you.

**Timeline**\
How long will it take to complete the project? Will you provide daily/weekly updates? Set expectations here.

**Additional Services**\
Do you have any additional services to upsell the client? For example, do you also offer monthly content marketing options or things like website maintenance?

**What You Can Expect**\
Out of all the applications that the client receives, why should they choose you? What does your workflow look like?

**Notes**\
The notes (and conditions) section can be used to explain things like when payment is due and if you apply any late fees for non-payment.

Before finishing the proposal, choose a **proposal style** in step 4. You can decide on a minimalistic proposal template or choose one to include your branding materials like logo and header. The proposals can also be customized with your brand color. After choosing a proposal style click "preview". You can now check what the final proposal will look like. To change the colors and to include a logo or banner click "Edit Style".

When you're happy with the proposal, sign the proposal and click "Send Proposal". Enter an email message and "Send a Test Email to Yourself" or send the email directly to your client.

## After Sending a Proposal

After you hit "Send Email", your client will receive an email to view the proposal. The proposal will open in a new tab and the client can sign the proposal and download it as a PDF.

Once the client signed the proposal, you'll receive an email letting you know that the proposal was signed. You can now view the proposal with both signatures in your Kosmo account. You'll also notice a little notification in the top menu to let you know that a proposal was signed.&#x20;

# Invoices

Create beautiful invoices and keep track of your income.

## Invoices Overview

Find all your drafted, sent, and paid invoices under the **Invoices** tab. You'll see a list of your invoices and their invoice **number,** the **client** the invoice was sent to, the **date** the invoice was created, the date the invoice is **due,** and the invoice **amount.** An icon indicates if an invoice was **paid** or not. A green circle means the invoice was paid, whereas red shows that it is unpaid. You'll also see the invoice **status**. The status can be paid, sent, draft, or overdue. Via the three dots under **actions** you can view, download, archive, and delete the invoice. You can also mark an invoice as paid or unpaid manually if you received the payment outside of Stripe or PayPal.&#x20;

You can filter your invoices by *client, project,* and *status.* To view an invoice, either click on a row in the list or choose "view" under actions.

## How to Create an Invoice&#x20;

Create a new invoice by clicking the "New Invoice" button. You can create two types of invoices: **Based on a project**, or a **manual invoice.**

Creating an invoice based on a project allows you to add hours that you've tracked for this project on Kosmo.

If you just want to create a quick invoice and manually enter the client and items, choose "Manual Invoice".

After choosing the type of invoice, you'll be asked to complete 4 easy steps,

The first step is some **general information**, like **invoice number, sender name and address,** and **recipient name and address.** If you chose to create an invoice based on a project and filled this information out in the client details, the information will be populated automatically. Also choose the **currency, date issued,** and the **due date** for your invoice.

Step two is about your **invoice items**. You can either add invoice items **manually** or select them **from your tracked hours.** The second option is only available If you're generating an invoice for a project and tracked hours on Kosmo. Click on "Add Unbilled Hours" and choose the time you'd like to bill from the pop-up window by clicking "Add to Invoice".&#x20;

To remove tracked time from your invoice click on the arrow next to it and click the red x icon in the popup.

If you realize that the rate you entered originally isn't right, remove the items from your invoice and head back to your [project](https://learn.joinkosmo.com/navigation/projects) to adjust the rate.

To add invoice items **manually** enter an **item title**, the **quantity,** the **unit** (weeks, days, months, items, hours, words), and the **rate** and click the add button. \
\
You can edit a manual invoice item by clicking the pencil icon or remove it completely by clicking the red x icon.

Finally, add any taxes that may apply and possible discounts. Once you're happy with the invoiced items, click "Save and Continue".

Choose **payment methods & conditions** for your invoice in step 3. The **payment method** options depend on the accounts you connected with Kosmo.\
You can add your Stripe and PayPal accounts via your settings. You can also enter other payment instructions. For example, if you prefer to get paid via Venmo, enter your info as **other payment option** in your settings. This option will show as  "Custom Payment Method" when choosing your **payment method** on your invoice. Let your client know of any other information in the **conditions and notes** section and click "Save and Continue".

In step 4, you can choose a **style** for your invoice. We offer different templates depending on how much branding you'd like to add to your invoice. Choose your favorite style and click "Preview invoice". During this step, you can edit the style by clicking the "Edit Style" button. All templates can be edited to include your brand color. Some templates allow you to upload a logo and header as well.

Review your invoice and click "Save" to save the invoice as a draft. If you're ready to send the invoice, click "Send Invoice". Enter the recipient's email and a message. Click "Send a Test Email to Yourself" or "Send Email" to send the invoice directly to your client.

## After Sending an Invoice

When you sent out an invoice, your client will receive an email. The email prompts the client to pay the invoice. \
The client can review the invoice and click the "Pay Invoice Button" which then informs them of your preferred payment method. The client can also download the invoice.

Once the client paid the invoice with PayPal or Stripe, you'll receive a notification that the client paid the invoice. If you received the payment through a payment method that isn't connected to Kosmo, you can manually mark the invoice as paid. The paid amount will be tracked via your income overview and monthly income goal on your dashboard.

You can access your account by clicking on your profile picture on the top right and clicking "Settings". Your settings have a mini menu to access different sections.

### Overview

In **Overview,** you can change your **account** and **business** information. You can edit your **name** and **profile photo** as well as change your **password** and **email**.

In your **business** section, you can change the **company name, title, address, business phone number, email,** and **website.**

Choose your **default currency** that will be used in your projects and documents by default.&#x20;

### Branding

Click **Branding** to upload your **logo** and **header**. You can also choose your brand color. Pick one of the example colors or enter the hex code of your preferred color. The brand color, logo, and header will be used for invoices and proposals. By uploading them in your settings, you don't have to re-upload the files every time you want to create a branded document. You'll also see a preview of how your color, header, and logo will look together. &#x20;

### Payments

Add your preferred **payment method** to receive payments. You can connect your **Stripe** or **PayPal** account. By connection to Stripe, you can accept payments via credit cards, debit cards, and ACH. Click the "Connect to Stripe" button and follow the steps to add your account or to create a new account. If you prefer to receive the payment through **other payment options**, enter your payment instructions. This information will be shown on your invoice. Enter the details and click "Update".

### Subscription

Manage your subscription to Kosmo. The **subscription** section will indicate which plan you subscribed to by a blue outline.

### Messages

Save time by adding your **email messages** for your invoices, contracts, and proposals as well as **conditions and notes** for invoices. By saving the messages here, you don't have to re-write them for each document.&#x20;

You can also use variables marked with #symbols to add more personalization to your messages.  For example, if you'd like to start the email with ***"Hello, "Client Name"***, you can use ***#recipient\_firstname#*** to show the recipient's first name. Or use #recipient\_company# to display the recipient's company. Click the "help" button on your settings page to see all the available variables.
